Connect Your Calendar for Enhanced Tour Scheduling and Confirmation

When a calendar integration has been activated for a Member user, they will then see Confirm and Reschedule options in tour-requested lead notifications.  These notifications allow the community team to confirm a tour or reschedule it. When a community team member confirms a tour, a confirmation notice is then sent to both the prospect who requested the tour and the team member who confirmed it. If the requested date does not work for the community, they will be able to suggest multiple alternate dates to the requester.

 

Below is an example of a notification email. 

 

Connecting a calendar to allow confirmation and rescheduling of tours is a simple process that is prompted the first time you get a tour notification. In this article, we’ll go through the steps of completing the setup and what happens when you confirm or reschedule a tour.

 

Connect Your Calendar for Tour Scheduling

Users who have not connected a calendar will receive a reminder email from Further, as shown below.

Click Authenticate

Select your email service in the new window. 

An agreement screen will open, informing of the integration permissions. Check the agreement box and click the Link button at the bottom. 

You will be prompted to enter your email login and password depending on the email service you use. When the login is complete, a confirmation will show. Your calendar is now integrated.

Note: When integrating your calendar, you must use the original base of your email.  For example, if your Gmail is pushed into Outlook, you would select Google vs. Outlook.  For most Microsft-based accounts, Office 365 is usually the base. 

 

Confirming Tours

Once you have connected your calendar to Further, you can use the tour notifications messages to confirm them.

If you select Confirm in a tour request notification, a confirmation will be sent to the prospect confirming the tour date and time and a calendar appointment will be sent to both parties. 

 

Reschedule Tours

Once you have connected your calendar to Further you can reschedule tours directly from the tour notification email. 

Click Reschedule in the email. 

In the Add to dropdown menu, select the appropriate calendar. 

Use the calendar to select a new date. The available times for that date will display on the right. 

Click the time for which you would like to reschedule. 

Click Confirm when you are done. The prospect will receive a notification with the new options. The prospect can either confirm the rescheduled date or notify you that the rescheduled time does not work. 

Once a new date and time have been agreed one, calendar appointments will be sent to both calendars.
