Manage Your Connected Calendars Used for Appointment Scheduling

Connected Calendars allow you to turn on and off tour calendar functionality as well as allows you to connect user calendars to reflect real-time availability for tour scheduling. 

In this article, we’ll go over how to access Connected Calendars, the new integration statuses, and how to adjust integrations. 

Note: Only Corporate users have the ability to manage Connected Calendars

 

Calendar Integration Statuses

Communities can have one of three statuses for their calendar integrations: 

  • Off - The community does not have a calendar option on. 
  • On - The community has a calendar connection setup with tour-enhanced calendar functionality.  This allows both the prospect and community to agree on a date and time before the calendar appointment is created. 
  • Legacy (not recommend) - this reflects our old calendar option where once a prospect selected a date/time, a calendar invite was booked immediately.  This option will only show for clients who have it active.  Once this option is turned off, it will no longer show. 

 

Locate Calendar Integration Settings

Select Settings in the left navigation menu. 

Look for Connected calendars under the Tour Availability submenu. 

 

The Connected Calendars page will open. You can now select the desired communities. Use the search bar in the top right to narrow the results or the Status dropdown. 

To select an individual community, click the community name. 

To select multiple communities, click the list icon at the top. Use the checkboxes to select the desired communities. If you click the top checkbox, all the communities visible on the page will be selected. 

At the top of the page, click Edit Multiple

If there are communities on a second page, you will have the option to select all of them. Click Select all… in the top window to choose all of the available communities. 

 

In the new window you can manage your integration, you can either: 

  • Turn Off the Calendar Integration
  • Turn On the Calendar Integration

Note: Once you turn off Legacy, this option will no longer be available. 

 

Turn Off a Calendar Integration

Communities with a calendar integration status of On can remove the integration with two clicks. 

In the new window click Off and then select Save to keep your changes.

 

Turn On a Calendar Integration

Note: Before getting started, make sure that there are users added for the community. You can only integrate the calendars of Further Member level users that are entered under Settings > SMS & Email Contacts.

Communities with a calendar integration status of Off can set up a new integration. In the new window click On.

To the right, select the user you want to sync the calendar off. Check the Send reminder box and click Save and Send Reminder

Note: The user will receive an email where they can Authenticate their calendar. They can select the calendar type and authorize the integration. 

Once a user has authenticated their calendar, the Synced status will change to Yes, and the calendar is successfully integrated. 

If a user needs the authentication link sent again, simply select the user and check the Send reminders box. 

Note: If a Member level user does not integrate their calendar via this triggered integration request, they can do so via any new tour lead notification they receive when clicking on the Confirm or Reschedule button, after the calendar integration is active.
