Scheduling tours is essential for increasing move-in numbers. Prospects who schedule tours are five times as likely to move in as an average lead. To help more website visitors schedule tours, Further has built features for the Virtual Sales Assistant (VSA) and Conversational Webforms (CW), allowing website visitors to schedule via these tools, right on your website.
In this article, we’ll go over how to set your availability for tours at one or more communities.
Note: Only Corporate users can adjust tour availability.
Select Communities
Click Settings in the left navigation menu. In the Tour Scheduling submenu, select Tour Availability.
Once the Tour availability page opens, you can search for or select the desired communities. Use the search bar in the top right to narrow the results or the Status dropdown.
To select an individual community, click the community name.
To select multiple communities, click the list icon at the top. Use the checkboxes to select the desired communities. If you click the top checkbox, all the communities visible on the page will be selected.
At the top of the page, click Edit Multiple.
If there are communities on a second page, you will have the option to select all of them. Click Select all… in the top window to choose all of the available communities.
A window will open for you to set availability.
Set Availability
There are several options and settings for tour availability. We will go over them all below.
Set the Same Availability for Every Day
If you are going to have the same tour availability every day of the week (including weekends), select On for the Use the same first and last appointment time slots every day section. Underneath, use the dropdowns to select the start time and end time of the availability.
Set Different Availability by Day
If you want different tour availability for the days of the week, select Off for the Use the same first and last appointment time slots every day section.
Use the checkboxes by the days of the week to select what days tours are available. Under the day of the week, use the dropdowns to select the start and end time of tour availability.
Allow Same Day Bookings
To allow leads to schedule a booking for the same calendar day, select On for Allow booking on the same day. Once On has been selected, the Earliest in dropdown will appear where you can select the lead time you need for same-day bookings. For example, you may want at least 2 hours from the current time before you will accept the next tour. If it is 12:49 pm, the next available slot will be for 3 pm, but if it is 1:01 pm, the next available slot will be for 4 pm.
Allow Next Day Bookings
To limit availability until the next day, choose On for Allow booking on the next day. To prevent leads from scheduling a booking the following day, choose Off.
Display Availability Based on Sales Calendars
If you would like to display appointment slots in your VSA or CW based on the availability in individual salespeople’s calendars, choose On. Remember, for this feature to work you must have first turned on connected calendars and had a salesperson sync their calendar. To see how salespeople can connect calendars see the article here.
To keep availability based on the settings in the current availability window instead, choose Off.
When you’re done, click Save and Publish in the bottom right to keep your changes.
Publish Availability Changes
Once you have set and saved your tour date availability, you will need to publish the changes on the community flows. For more information on how to find the correct flow for your community, see the article here.
Click on the flow to open the edit page. In the top right click Publish Changes.
Once your flow is published, the changes will take effect for your tour availability.
