Reply to Prospect Conversations & Add Personal Notes

  • Updated

When a website user interacts with one of your Further tools and provides their name, phone, and email address, this creates a lead, which then creates a conversation in your Further Dashboard.  This conversation provides the exact interaction that the prospect had with your Further tool(s) and will be sent to you via your preferred method of communication (email, your CRM and/or via SMS to your cell phone).

After the initial lead is created, each time a prospect returns to a Further tool using the same browser or is enrolled in Messaging, the conversation will continue on, keeping everything in one place, your Further Dashboard. To help keep organized, you can keep personal notes on a conversation with a lead. This allows you to keep track of things to do or neatly summarize interactions for later reference.

In this article, we’ll go over how to reply to a lead using your Further Dashboard and how to take personal notes right in the conversation.

Answering Leads

You can access a conversation through the email lead notification we send or by searching for a lead in All Conversations.

To access through an emailed lead notification, click on View Conversation at the bottom of the transcript

At the bottom of the conversation, you will have a box to type your message to a prospect.

You can attach files to your message by clicking the paper clip icon underneath the message box.

Once your message is ready, select if you want to send via SMS or email using the Send from dropdown.

You can also set a reminder for yourself to follow up with a prospect.

Note: In order to send messages via email, you have to set up email communications first.

When you’re done, click Send in the bottom right.

Add Notes to a Conversation

In a conversation, look to the bottom left. Above the message field, click the +Add Note button.

The Add Note window will open. Enter the desired information in the Note field. Notes are not visible to prospects and are only visible to your community team. Click Save to add the note.

Notes are easy to see in conversations with the Further Website title.

You can use the top filter to see all of the notes in a conversation. Click the Show dropdown and select Notes. All notes made for that conversation will be displayed.

To edit a note, click Edit Note.

The Edit Note window will open. Make the desired changes in the Note field and then click Save

Note: Notes do not currently push into the CRM and are only viewable in your Further Dashboard.

Any conversation with a note will have a note icon under the Lead image.

You can easily find any conversations with a note by using the Activity dropdown and sorting by Note Added
